Check For Duplicate Classes

1. Go to the Teacher's Dashboard (https://zenglish.jp/teachers-dashboard/)

2. Go to the second page (next week's classes) by clicking on the arrow: 

3. For the last two days on the schedule, check each hour carefully. Make sure a teacher isn't scheduled twice at the same time.

4. If you find a duplicate class, check whether it's been booked by a student.

a. If it's not booked, just delete the class by going to the "View all table" (https://zenglish.jp/wp-admin/admin.php?page=vc-text-domain-view-all)

b. Filter by date by entering the date in the "From" and "To" Boxes. Then press "Filter"

c. Find the class on the list, hover over it and press delete.

d. Then go back to the teacher's dashboard and refresh to check the class has been deleted.

e. If both classes are BOOKED by a student and have their names on the cards, find out which of them made a request by logging in to shiftplanning and checking the schedule https://lyngo2.humanity.com/app/schedule

f. record both student's numbers before you delete, just in case you make a mistake, then delete the class using the same method in steps 4b-d.

g. Then send a message to Keiko and Ben to say which student you've cancelled and the time of the class. Explain it was due to duplicate class.


Checking upcoming 25-minute classes

While checking for duplicate classes, we should also check upcoming 25-minute 1on1s to see if they have been unbooked.

We delete un-booked 25-minute 1on1s, after first checking that they were reserved and then unreserved, and let the teacher know. This is because there are no walk-in 25-minute classes. They only exist because they have been requested and agreed. Thus, if there is an empty one coming up, it should be removed from the site and SP.

(The students ought to tell us when they cancel these, but they often don't)
